How is the programme aligned?

This programme is a QCTO occupational qualification and will consist of knowledge
modules, practical modules and work experience modules as explained in the qualification rules.


KVR Training offers this qualification in full, as well as in the two part-qualifications listed below:

  • DispatchClerk
  • ReceivingClerk

Who is the target audience?

This qualification is aimed at developing the necessary skills for those wishing to work as receiving and dispatch clerks in the wholesale and retail industry. In the wholesale and retail industry, the financial value of a business is usually made up of two aspects, cash and the actual value of the stock held by the business. One of the major problems faced by wholesale and retail businesses is shrinkage which largely takes place in the receiving and dispatch department. Most dispatch clerks working in these departments are not adequately trained for the task.

What are the entry requirements?

Learners must meet the following criteria to enter the programme:

  •  Learners must have an NQF Level 2 qualification to enter the programme.

What is the purpose of the programme?

The purpose of this qualification is to prepare a learner to operate as a dispatching and receiving clerk. A dispatching and receiving clerk records goods received into a business and dispatches goods from a business while minimising losses to the establishment and maintaining stock records.

What are the learning outcomes?

The exit level outcomes for the full qualification are listed below:

  • Receive stock and record the receipt in a manner that minimises losses and maintains
    accurate stock records
  • Dispatch stock and record the dispatch in a manner that minimises losses and maintains
    accurate stock records

How is the programme structured?

The modules for the part qualifications are structured as follows:

Dispatch Clerk

Knowledge Modules:

  • The receiving and dispatch environment (4 Credits)
  • Concepts of shrinkage and losses (2 Credits)
  • Principles of dispatching stock (2 Credits)
    Practical Skill Modules:
  • Prepare items for dispatch (2 Credits)
  • Prevent shrinkage and losses (3 Credits)
    This qualification also requires the following Work

Experience Modules:

  • Processes and procedures for dispatching stock (7 Credits)

Receiving Clerk

Knowledge Modules:

  • The receiving and dispatch environment (4 Credits)
  • Concepts of shrinkage and losses (2 Credits)
  • Principles of receiving and checking deliveries (4 Credits)
    Practical Skill Modules:
  • Receive stock (2 Credits)
  • Prevent shrinkage and losses (3 Credits)
    This qualification also requires the following Work

Experience Modules:

  • Processes and procedures for receiving stock (8 Credits)

All modules are required for the full qualification. The total number of credits for the full qualification is 34.
Note: Credit Accumulations and Transfer (CAT) exemption for specific modules (in accordance with qualification
rules) is applicable to approved learners and CAT applications for approval will be provided on request. Approved
learners will have reduced contact days.

How will the course be delivered and assessed?

Facilitation strategy

For the knowledge modules and practical modules, KVR Training offers our clients various facilitation methods
based on specific needs. This can include in-person, on-line, virtual facilitation methods or a combination of any of these. Various learning techniques, such as simulations, roleplays and presentations are used. Facilitators give feedback on participation, strengths, and areas for improvement. Practical application is crucial, requiring learners to apply knowledgein their daily work under supervision. For the work experience modules, learners will be provided with a detailed work experience guide. This will enable learners to complete the required work experience modules under the guidance of a workplace coach/mentor. For this qualification, an assignment required for the EISA will be conducted during the work
experience phase.

Assessment strategy

  • Formative assessment for the knowledge modules and practical modules is conducted throughout the programme during the facilitated sessions. Assessment activities are included in the Formative Assessment Workbook and will be checked by the facilitator. Learners are expected to complete all the activities in their workbooks.
  • Summative assessment is conducted at the end of each module. Learners are expected to complete summative assessment activities in the workplace. These will be assessed by KVR Training.
  • Statement of work experience: KVR Training will declare a learner ready for the External Integrated Summative Assessment (EISA) once the formative and summative activities are completed and a statement of work experience with supporting evidence is compiled in the learner’s workplace.
  • The external integrated summative assessment (EISA) will be conducted through the relevant Quality Council for Trades and Occupations (QCTO) Assessment Quality partner. The EISA will focus on the exit level outcomes and associated assessment criteria. The EISA will be conducted by means of a combination of a written assessment (paper or online) at an approved assessment site and the external assessment of the evidence produced during the workplace experience at an approved assessment site by an Assessment Quality Partner (AQP) registered assessor. The assessments will test the candidate’s ability to communicate, solve problems and make decisions in relation to a set of typical situations and circumstances which include receiving and recording freight according to policy, allocating freight for storage and controlling of stock, picking, reconciling and dispatching of freight.
  • EISA Preparation: KVR will allocate time in the programme schedule for EISA preparation. Focus will be given to exam techniques, past papers, and remedial coaching.

What are the workplace requirements?

The work experience modules must be completed in the workplace. Workplace requirements are clearly
stipulated in the curriculum.

For this qualification the following human and physical resources are required:


Physical Requirements:

  • Operational retail store, with all operational systems in the receiving areas
  • Should a workplace not have all the necessary physical requirements they are allowed to enter into formal agreements with other workplaces that do have the required list of physical requirements in order to achieve accreditation.
  • KVR Training will assist and facilitate this process.

Human Resource Requirement:

  • Supervisor/Managerwith at least 1 year experience of receiving procedures

Legal Requirements:

  • Registered as a formalbusiness
  • Compliantwithall relevant legal requirements for a retail store

What workplace activities will need to be completed?

Learners receive a work experience guide providing guidelines for workplace activities. Some of the workplace activities for this qualification include the following:

  • Receivedeliveries of stock into the business
  • Dispatchstock fromthe business
  • Maintainaccurate stock levels
